We are recrutiting Administrative Assistant (M/F) who will be responsible for providing effective administrative support to the Management team.
Requirements:
Previous experience in administrative support roles
Excellent verbal and written communication skills in English and Portuguese
Flexibility to manage multiple tasks and priorities in a dynamic environment
Highly organized and time management skills, ability to manage priorities
Ability to empathise and understand the needs and concerns of different interlocutors
Proactivity to anticipate needs and solve problems
Comfortable engaging directly with board members and other senior executives
Professional behaviour and the ability to adapt the attitude to different situations and stakeholders
Strong organizational skills and attention to detail
Qualifications:
Higher education in administration, management, secretarial or related areas
Previous experience in administrative or management support roles
Fluency in English (oral and written) mandatory
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Main Responsibilities:
Coordinate appointments and meetings, managing schedules and calendars efficiently to ensure smooth operations
Be responsible for arranging travel, transport, and accommodation
Manage office logistics and supplies to maintain a well-organized and functional workspace
Receive and distribute incoming mail, calls, and packages, logging and notifying recipients of package arrivals
Support in preparing meetings including rooms and catering
Coordinate outgoing mail and courier deliveries
Support with presentations and email responses
Prepare documents and reports
Conditions:
Office: Oeiras
Schedule: 09:00 – 18:00 Monday to Friday
Contract in Outsourcing with Adecco
